Terms & Conditions – Cancellation / Delay Policy and Service Fee

I. Cancellation / Delay Policy and Service Fee

❖ Service Payment Policy for all days (except holidays, Tet holiday):

➢ Customers have to pay a minimum deposit of 1,000,000 VND /person to reserve a booking and a 100% tour price for the trekking Northern Vietnam tours’ reservation.
➢ The rest of the payment has to be transferred at least 3 days before departure day to complete the booking and ensure the best quality of service.

❖ Cancellation / Delay Policy for all days (except holidays, Tet holiday):

● Service Cancellation Fees:
➢ Cancellation after registration or 5 days prior to the departure day: 30% of the tour cost.
➢ 3 days prior to the departure day: 50% of the tour cost.
➢ 2 days prior to the departure day: 100% of the tour cost.
➢ All refunds will be processed within 14 days since receiving the cancellation announcement.

● Service Delay Fees:
➢ 5 days prior to the departure day: No charge
➢ 3 days prior to the departure day: Charge 30% of the tour cost
➢ 2 days prior to the departure day: Charge 50% of the tour cost
➢ Customers can transfer tickets to other customers without any additional charge

● For the trekking Northern Vietnam tours, cancellation or Delay after registration is charged 100% tour price.

❖ Service Payment Policy for holidays, Tet holiday:

➢ Customers have to pay a minimum deposit of 1,000,000 VND /person to reserve a booking and a 100% tour price for the trekking Northern Vietnam tours’ reservation.
➢ The rest of payment has to be transferred at least 7 days before departure day to complete the booking and ensure the best quality of service during holidays, Tet.

❖ Cancellation / Delay Policy for holidays, Tet holiday:

● Service Cancellation Fees:
➢ Cancellation after registration or 10 days prior to the departure day: charge 30% of the tour cost.
➢ 7 days prior to the departure day: charge 50% of the tour cost.
➢ 5 days prior to the departure day: there will be no refund.
➢ All refunds will be processed within 14 days since receiving the cancellation announcement.

● Service Delay Fees:
➢ 10 days prior to the departure day: No charge
➢ 7 days prior to the departure day: Charge 30% of the tour cost
➢ 5 days prior to the departure day: Charge 50% of the tour cost
➢ Customers can transfer tickets to other customers without any additional charge

● For the trekking Northern Vietnam tours, cancellation or Delay after registration is charged 100% tour price.

● Notable terms and conditions
➢ Customers are only allowed to delay tours once. In case customers do not transfer to another tour within 60 days from the date of booking, customers will be charged 100% of the tour cost.
➢ Customers must announce a Cancellation / Delay tour via (Email, Zalo, Viber, SMS, Telephone…) and must be confirmed by Bitour staff to be accepted.
➢ Customers can transfer tickets to other customers at no charge
➢ In case there is an airline ticket, train ticket, or visa fee … not included in the tour price, the customer will be charged the fee according to the regulations of the supplier (airline, train, car, visa service …)
➢ Customers who do not participate in all the itinerary or voluntarily separate from the tour schedule are responsible for themselves and not refunded. All costs arising from the voluntary separation is not Bitour’s responsibility.

★ Cancellation / Delay Service From Customer:

➢ If customers cancel the tour / service, customers must announce Bitour via (Email, Zalo, Viber, SMS, Telephone…). Customers must pay the cancellation fee according to Bitour’s policy and bank charges for the online payment.
➢ If customers delay / transfer the tour, Bitour will consider the actual situation to count the cost and support customers.

II. Force majeure cases

➢ For some force majeure reasons such as natural disasters, floods, epidemics, demonstrations … To ensure safety for customers, Bitour reserve the right to delay/transfer the tour and will announce customers via (Email, Zalo, Viber, SMS, …) or support customers to transfer tours at no charge. If customers cancel the tour, 30% of tour cost will be charged for procedure fee
➢ The tour schedule can be changed due to some force majeure reasons such as natural disasters, floods, epidemics, demonstrations, aviation incidents … To ensure safety for customers, Bitour will adjust the tour schedule in accordance with actual conditions.

III. OUR RESPONSIBILITY AND COMMITMENT:

❖ On Bitour side:
➢ Ensure full of all services according to the tour schedule
➢ All information collected from customers is used to operate tours, buy insurance, register for accommodation and serve requests at the destination.
➢ Personal information about customers is internally circulated by the company, we commit to the confidentiality of customer information.
➢ Fully inform information and regulations when traveling before the departure date

❖ On customers’ side:
– Provide all information: full name, phone number, email, date of birth and ensure the registration information is correct, so that Bitour can purchase travel insurance for customers. When there are changes, customers must contact Bitour directly for the update, Bitour will not be responsible for the case that the customer does not provide information or provide inaccurate information.
– Full payment in the regulated time
– During the tour, customers must comply with the tour schedule, not voluntarily separate the group. If there is a request to change, customers must announce the tour guide or representative of the company.
